Fee Schedule, Procedures & Rules

 

A Three-Step Process

1. Provide Horticultural Hall Client/Event Information

2. Review with Horticultural Hall management, the rental fees, rules and procedures within this document.

3. Submit signed lease with appropriate deposits.

 

Lease Agreement

1
. Your executed Lease Agreement, accompanied by 50% of your Rental Fee, delivered to the manager of Horticultural Hall, will reserve your date(s) for you.

2. Horticultural Hall Fee Schedule: Rates are stated in Appendix A (below) and are subject to change. In the event of a rate change, only those leases with Lease Agreement first event date (date of function a. on Lease) six months out will be subject to the rate change. Lessee will be so notified in writing.

3. Rental Fee
: 50% of Lease Agreement Rental Fee is to accompany the executed Lease Agreement. The remaining 50% of the Lease Agreement Rental Fee is due six (6) months prior to the Lease Agreement first event date. Method of payment for Lease Agreement Rental Fees may be credit card, check or cash. The $500 Security Deposit is due one (1) month prior to the Lease Agreement first event date. If any payment due is not received in the form of check or cash by the due date, Lessee authorizes Lessor to charge Lessee’s credit card listed on the Lease for the amount due.

4. Event Time & Set-Up Time: Rental Fee includes event time and set-up time and covers a maximum of a contiguous fourteen (14) hour period, not to extend beyond 1:00 a.m., closing time, or time of lease expiration if prior to 1:00 a.m. Event Time begins when the guests arrive. Any time needed prior to the guests’ arrival is considered Set-up Time. Arrangements for Set-up Time must be approved by the Horticultural Hall Manager and included in the Lease.


Procedures and Rules

1. Security Deposit
: Your Security Deposit will be returned to you within 30 days following your event, minus any applicable deduction for theft and/or damages, Excess Cleaning Fee and/or Excess Possession Fee. In the case the deposit balance is insufficient to cover the deductions, the Responsible Party (Parties) on your Lease Agreement will be billed.

Theft and/or damages: In the event items are stolen from or damaged on the premises of Horticultural Hall, amounts to cover these will be deducted from your Security Deposit.

Excessive Cleaning Fee:  any charges by the cleaning service in excess of the $150 per cleaning visit.

Excessive Possession Fee: The occurrence of any persons associated with your event possessing the premises beyond the expiration of the Lease. Excess Possession Fee will be charged at $50 per hour.

2. Cancellation: All notices of cancellation to be effective must be in writing and delivered to Manager, Horticultural. Burden of proof of delivery is the responsibility of Lessee. Notice of cancellation received six (6) months or more prior to the Lease Agreement first event date will be charged 50% of the contract Rental Fee and the balance in excess of this amount will be refunded to the Responsible Party (Parties) on the Lease Agreement. All Rental Fee will be forfeited if cancellation is made less than six (6) months from Lease Agreement first event date. Upon receipt of cancellation, Lessee’s Security Deposit will be refunded. Failure of Lessee to make the required payments on schedule (see Lease Agreement – section #3), may, at Horticultural Hall management’s discretion, be treated as a Cancellation, making the Lease Agreement null and void.

3. Set-up and set-up time: You are responsible for set-up of tables, chairs, decorations and any other amenities you elect to have for your occasion.

4. Clean-up time and clean-up responsibilities: All clean up must be accomplished by the 1:00 a.m. lock-up time or by Lease expiration time, whichever is earlier. You are responsible for picking up trash from table tops and floor, depositing said trash in plastic bags provided and placing the bags in the trash receptacles located on the outside rear, south side of the building. You are not responsible for taking down the tables and chairs, or for sweeping or general cleaning. Lessees granted Not-For-Profit rates are responsible for all set-up as defined above, plus the take down and proper storage of the tables and chairs. In all cases, it is expected that the premises will be left in the order they were in when delivered to you for your event.

5. Security: For evening events, one security independent contractor will be on the premises periodically during your event from 6:00 p.m. through clean-up and close. The security representative will be responsible for locking the facility at lease expiration time, but no later than 1:00 a.m. The security representative will assist you in using the facility and shall perform duties as stated in item #18 of the Lease. Security representative will not perform custodial or maintenance functions. A contact person must be established to represent and communicate with the security representative during the event. The security representative is contracted by and paid by the Lessor.

6. Caterer: You may choose any caterer you desire. Any damages done by the caterer or caterer’s staff, or equipment taken from the premises by the caterer or caterer’s staff will be the responsibility of the Lessee and recovered through the security deposit or in the case the security deposit balance is insufficient, will be billed to the Responsible Party (Parties) on the application.

7. Decoration: Premises refer to the building inside and outside and the courtyard and adjoining loggias, inside and outside. Lessee shall not tack, tape, nail, pin, staple or otherwise attach any item to the premises walls, or alter the premises in any manner, without the prior express written permission of the manager of the premises. No helium balloons are permitted inside the building. No lighted candles, torch or other ignited or flame-bearing objects are allowed, unless protected by a hurricane cover and then allowed only on tables.

8. Liquor, Wine and/or Beer: There is no liquor license for the premises. Liquor, wine and/or beer may be served, but no license or licensed bartenders are needed. Liquor, wine and/or beer may only be given away. In no way can money be involved. Wisconsin Statute Number 125 forbids dispensing liquor to persons under 21 years of age. Glass beer bottles are not permitted. Crystal glasses may be used, but are not recommended, but any broken glass must be cleaned up immediately by you. By city ordinance, positively no alcoholic beverages may be consumed off the premises. This means that alcoholic beverages must be consumed inside the building, the courtyard or the loggias. They may not be taken outside the front door.

9. Smoking: There is a no-smoking policy within Horticultural Hall. Smoking is permitted only outside, which includes in the courtyard or under the entry canopy. Smoking materials should be extinguished in the urns provided. The security representative will strictly enforce this rule.

10. Gardens: The courtyard garden and landscape plantings are for all to view and enjoy. Cutting flowers is not allowed. Insecticide or chemical sprays are not permitted. Plants are living material. Any damage to plants will be deducted from your Security Deposit and if your Security Deposit is insufficient, the responsible party on the Lease Agreement will be billed for the balance.
